Overview

We’re hiring a Purchasing Coordinator to manage daily ordering of blank apparel and promotional products. This includes daily purchases from vendors such as S&S Activewear, SanMar, Badger, Augusta, and Under Armour, as well as sublimated team uniforms from independent Chinese factories and decorated promotional products through PPAI and ASI suppliers.

You’ll place orders via vendor websites, email, and occasional phone calls; you’ll regularly upload mockups and approve proofs; and you’ll coordinate with the sales team as needed. Success in this role requires strong follow-through, excellent organization, and the confidence to ask questions and flag unclear or incorrect details.

KEY RESPONSIBILITIES

  • Place and track orders for blank apparel from key vendors including:
    • S&S Activewear
    • SanMar
    • Gildan
    • Badger
    • Augusta Sportswear
    • Other suppliers as needed
  • Source and order promotional products through ASI suppliers when we do not decorate in-house (e.g., tumblers, mugs, keychains, giveaways).
  • Manage purchase orders (POs) across multiple systems and update order status in real time.
  • Verify stock availability, pricing, and ship times across vendor platforms.
  • Communicate with vendors to resolve issues with order delays, shortages, or backorders.
  • Coordinate with internal teams (production, customer service, and art department) to ensure materials and outsourced goods are ordered accurately and on time.
  • Upload proofs and approve mockups on ASI vendor websites when required.
  • Maintain digital records of vendor communications, invoices, and tracking details.

Requirements/Qualifications

  • Prior experience in purchasing, logistics, or supply chain roles (apparel industry preferred).
  • Familiarity with U.S.-based apparel wholesalers and ASI vendor network is a strong plus.
  • Must understand the difference between in-house production and outsourced decoration.
  • Strong organizational skills and ability to manage dozens of orders daily.
  • Ability to work independently and proactively flag issues.
  • Comfortable using spreadsheets, web-based order portals, and email for communication.
  • Excellent written and verbal communication in English.
  • Available to work during overlapping U.S. business hours.

PREFERRED TOOLS/EXPERIENCE (NOT REQUIRED)

  • Experience with ASI SmartSearch or ESP Web.
  • Familiarity with apparel order management platforms.
  • Knowledge of screen printing and embroidery processes.
  • Use of order management or ERP tools.
