We're seeking a detail-oriented and highly motivated Virtual Assistant to support an investor/executive across multiple portfolio companies. This is NOT your typical VA role - you'll be working across 4 different companies, managing complex processes, and building systems that scale.

What You'll Do

Administrative Excellence:

  • Email management and executive calendar coordination
  • Legal document support - review, format, and make administrative edits to contracts, subscription agreements, and legal materials (no legal analysis required)
  • Document organization across multiple company systems
  • Travel planning and logistics coordination
  • CRM management and data organization

Financial Operations Support:

  • Invoice and billing management coordination
  • Expense tracking and receipt organization
  • Bookkeeper communication and follow-up
  • Payment collection and vendor relationship management

Advanced Social Media Operations:

  • Multi-platform account creation and setup
  • Account credential and security management
  • Multi-login platform coordination
  • Social media compliance and verification processes

Process Documentation & Systems:

  • Create beautiful, organized documentation in Notion/Asana
  • Document existing processes with clear, visual workflows
  • Build searchable knowledge bases and SOP libraries
  • Ensure consistency across multiple companies
  • Template creation and system standardization
Number of working hours: 25 hours/week (5 days a week)  

What We're Looking For

Must-Have Qualifications:

  • 2+ years of virtual assistant or administrative experience
  • Expert-level G Suite proficiency (Gmail, Drive, Sheets, Docs, Calendar)
  • Comfortable working with legal documents and contracts (formatting, version control, administrative edits)
  • Experience with business process platforms (Notion, Asana, Monday, Trello)
  • Excellent written and verbal English communication
  • Strong attention to detail and organizational skills
  • Reliable internet connection and professional home office setup
