About the Role
We are looking for a highly organized, proactive, and resourceful Executive Assistant to support the CEO of two growing ventures — a creative agency specializing in experiential marketing and a fintech startup in the payments space. This role is dynamic and fast-paced, requiring someone who thrives in an entrepreneurial environment, can switch contexts seamlessly, and has excellent communication skills.
This is a full-time, remote position working directly with the CEO. You’ll play a critical role in keeping operations running smoothly across both businesses.
Executive Support
Manage CEO’s inbox, calendar, scheduling, and task tracking
Serve as the point of contact for internal and external communications
Prepare agendas, take meeting notes, and follow up on action items
Anticipate needs and proactively resolve scheduling or communication bottlenecks
Creative Agency (Marketing/Experiential)
Assist in drafting and polishing client proposals, pitch decks, and presentations
Coordinate with team members (design, dev, project management) to keep deliverables on schedule
Handle client follow-ups and maintain CRM entries
Fintech Startup (Payments/Compliance)
Organize sensitive compliance documents and onboarding packets
Manage correspondence with banks, ISOs, and strategic partners
Track deadlines and ensure follow-through on regulatory requirements
Uphold the highest level of confidentiality and professionalism with sensitive data
3+ years experience as an Executive Assistant, Project Coordinator, or similar role
Exceptional written and verbal English communication skills
Strong organizational and time-management skills with the ability to juggle multiple priorities
High attention to detail; comfortable working with financial, legal, and compliance-related documents
Proactive and solutions-oriented mindset — able to anticipate needs and take initiative
Tech-savvy: proficient with Google Workspace, Slack, project management tools (ClickUp, Asana, etc.), and comfortable learning new software quickly
Bonus Skills
Experience supporting founders/CEOs in startups or agencies
Familiarity with compliance-heavy industries (banking, fintech, healthcare, etc.)
Ability to draft polished business correspondence and client-facing materials
